Policies and Guidelines - Harry Schiewetz Assembly Hall Rental
Use of Facilities:
Rental of the Assembly Hall includes the use of the Carl B. Kern Auditorium, kitchen, and restrooms. Use of the Adventure Room, Explorer Room or Frontier Room, must be pre-discussed.
All food and drinks are to remain in the Carl B. Kern Auditorium, or on the patio connected to the auditorium.
Caterers may use the preparation kitchen. Other needs should be cleared by Camp Kern staff.
Equipment:
Kitchen Equipment includes; warmer, ice machine, refrigerator, sink, and microwave. All other necessary equipment needs to be provided by the caterer. The caterer will provide a list of equipment being delivered to the Assembly Hall, and delivery date will be cleared by Camp Kern staff.
Audio/AV equipment is to be handled by Camp Kern staff ONLY. If equipment is needed, and additional fee of $50/hour will be charged to pay for a media specialist.
Camp Kern only provides tables and chairs. China, flatware and glassware is NOT provided.
Décor:
All decorations must be pre-approved by Camp Kern staff. No confetti, rice, glitter, silly string, balloons, or any other decoration that would stay on or litter Camp Kern grounds may be used at any event.
All decorations should be brought the day of and need to be removed at the end of the event, unless previously arranged through a Camp Kern representative.
Open flames are not permitted except for votives, stern for chafing dishes, or unless they are enclosed with hurricane covers.
Trash:
Camp Kern has 2 dumpsters located on camp. One dumpster is behind the Singerman dining hall, and the other is located on ranch road, across from the barns. All trash must be picked up in and around the Assembly Hall area, sealed in garbage bags, and disposed of immediately following the event.
Support Personnel:
All support personnel, such as, but not limited to; D.J., florist, photographer, bakeries, caterers, event coordinators, or rental companies should be aware of Camp Kern guidelines and policies. Please inform Camp Kern of any personnel that will be on camp so we can identify them with your event and work in cooperation with them.
All caterers will need to be in contact with a Camp Kern representative to review details, guidelines and contracts between the caterer and Camp Kern.
Entertainment:
Please discuss with your band/D.J. your preferred music volume level. Camp Kern has the right to ask a D.J. or band to lower the volume if it interferes with another simultaneous event.
Smoking Policy:
Camp Kern is a non-smoking facility.
Damage/Loss of Property/Clean up:
Renter accepts all responsibility for any damages to Camp Kern property caused by Renter or Renter’s guests. Camp Kern will not accept responsibility for damage or loss of any items/ property of Renter’s that is brought to Camp Kern, or left after an event. Renter will be charged for excessive clean-up after the event, incurred from extra decorations, or mistreatment of the facility.
Alcohol:
Serving alcohol is permitted in compliance with applicable Federal, State and local laws. Alcohol MUST be confined to the Harry Schiewetz Assembly Hall and patio area.
Alcohol is not permitted in cabin, cabin areas or outside of the Assembly Hall.
Guests found with alcohol outside permitted are subject to fines at the discretion of Camp Kern. Any litter found outside the Assembly Hall in terms of bottles, cans, etc, will also cause a fine to the Renter.
All parties must obtain and provide to Camp Kern, an insurance rider for the event if serving alcohol. Renters take full responsibility of guests and guests’ actions under the influence of alcohol.
A corkag fee of 3$ per person over 21 years of ge will be charged if alcohal is serverd at any time during an event. This fee covers the additional staff, clean-up time, and liability involved when there is alcohal at an event.
